Our latest platform updates are now live, bringing powerful new features, improvements, and fixes designed to streamline operations and enhance your customer experience. Here’s what’s new:

🚗 Mileage Overage Billing — Phase 1 Now Available

You can now track vehicle usage and automatically bill for excess mileage with our new Mileage Overage Billing feature.

Key features:

  • Overage tracking based on vehicle usage.
  • Automated billing when mileage limits are exceeded.
  • Usage breakdown for invoicing, with direct links to the relevant booking and period filters for easy charge reconciliation.

💳 Pro-Rated Credit Card Surcharge Refunds

Refunds for payments that included a credit card surcharge will now automatically refund the surcharge proportionally.

For example:

  • Original payment: $100 + $2 surcharge.
  • Refund of $50 will now include a $1 surcharge refund.

This update ensures fairer and more transparent refunds for both businesses and customers.

👤 Emergency Contacts and References

You can now add emergency contacts, references, and employer details directly to a person’s profile.

This helps streamline KYC, compliance, and customer records management.

🚘 Optional Blocking for Requested Bookings

By default, only Confirmed and Active bookings block vehicle availability.

Now, you can optionally configure the system so Requested bookings also block availability—helping you manage temporary holds while customers finalise their bookings.

This feature is disabled by default and can be enabled via the feature flag Availability Engine Requested Bookings Unavailable.

🏦 AU BECS Direct Debit via Stripe — New Documentation

A new guide is available explaining how AU BECS Direct Debit works with our Stripe integration, including mandate requirements and migration considerations.

💰 Auto-Apply Credit Notes

Enable this setting to automatically apply any available credit notes before charging the customer’s default payment method, reducing manual billing steps and improving the payment experience.

📄 Statement of Account Generation

You can now generate a PDF Statement of Account to:

  • Download overdue invoices showing their balances.
  • Download a full ledger-style summary of all invoices.

Access this via:
Booking / Person / Company > Billing > Invoices > Statement

📊 Updated Overdue Invoices View

Enhancements to the overdue invoices interface now show:

  • The most recent payment failure reason.
  • Payment method details and autopay status.
  • Improved filtering by owner name or email.

👥 Assigning Booking Managers

You can now assign a manager to each booking.
Filter bookings by manager and include this information in booking exports for better team oversight.

🔎 Improved Filters and Search

  • Filter invoice reports and overdue invoices by owner name or email.
  • Global search now includes bookings associated with an email address.

🔁 Updated Auto-Retry Timing

The auto-retry window for failed payments has been extended to 48 hours to reduce card blocks caused by frequent retry attempts.

  • Fixed KM statistics redirection.
  • Filter invoices and overdue items by "Failed" status.
  • Added support for parent categories in categorisation.
  • You can now change billing frequency mid-subscription.
  • Added drop-off location and time fields to the booking end form.
  • Fixed payment method expiry reminders.
  • Resolved validation errors causing lead failures.
  • Improved list filter logic accuracy.
